Terms and Conditions

Welcome to Z Event Rentals. By accessing our website, booking services, or renting equipment, you agree to be bound by the following terms and conditions. Please read them carefully before proceeding.




1. Rental Agreement


All rentals are subject to availability and confirmed only after a signed rental agreement and full or partial payment (as outlined in the invoice). A valid government-issued ID may be required at the time of booking or delivery.




2. Rental Period


The rental period is variable depending on the specific items rented and will be clearly stated in the signed rental agreement or invoice. All clients are responsible for ensuring timely return or availability for pickup based on the agreed-upon timeframe. Late returns may result in additional charges.




3. Delivery, Setup, and Pickup

  •  Delivery and pickup fees may apply based on location.

  •  Client must ensure venue access and setup location are ready upon arrival.

  •  Any delays due to restricted access or wait times will incur additional charges.




4. Client Responsibilities

  •  Client is responsible for the equipment from the time of delivery until pickup.

  •  Equipment must be protected from weather, theft, vandalism, and misuse.

  •  Any damage, loss, or excessive soiling will result in repair/replacement fees.




5. Damage or Loss


Client assumes full responsibility for any equipment lost, stolen, or damaged (excluding normal wear and tear). Charges will reflect replacement cost or repair, whichever is applicable.




6. Cancellations and Refunds

  •  Cancellations made 7 or more days prior to the event are eligible for a full refund (minus any non-refundable deposit).

  •  Cancellations made within 7 days of the event may forfeit part or all of the rental fee.

  •  Weather-related cancellations may be credited toward a future booking, at Z Event Rentals’ discretion.




7. Weather Policy


Outdoor events must have adequate coverage (tent or indoor backup). We reserve the right to withhold or modify equipment delivery if weather conditions could risk damage or safety.




8. Liability and Indemnification


Z Event Rentals is not liable for injuries, accidents, or damages arising from the use or misuse of our equipment. The client agrees to indemnify and hold harmless Z Event Rentals, its staff, and affiliates from any claims resulting from the rental.



9. Payment Terms

  •  A 50% deposit is due at booking to secure the date.

  •  The remaining balance is due no later than 72 hours before the event.

  •  We accept major credit cards, Zelle, and business checks.



10. Dispute Resolution


Any disputes arising under these terms shall be governed by the laws of the Commonwealth of Virginia. All disputes will be settled through arbitration or small claims court within Fairfax County, VA.



11. Changes to Terms


Z Event Rentals reserves the right to modify these terms and conditions at any time. Updates will be posted on our website with the date of revision.
